Administrative Assistant

Position Type: Full-time

Location: Hybrid Remote/Espanola, NM

Job Description:

We are seeking a dynamic and versatile Administrative Assistant to join our team. The ideal candidate will thrive in a fast-paced environment and be comfortable handling a wide range of responsibilities including grant writing and editing, grant fulfillment tracking, scheduling, and event and program planning. This role requires excellent organizational skills, attention to detail, and the ability to adapt to ever-changing priorities.

Responsibilities:

  • Assist in grant writing and editing process, ensuring grant proposals and reports are completed accurately and submitted on time.
  • Track grant fulfillment and reporting requirements, ensuring compliance with grant guidelines and deadlines.
  • Manage calendars, schedule meetings, and coordinate meetings.
  • Assist in event planning and execution, including logistics coordination, vendor communication, and attendee management.
  • Support program planning activities, including research, documentation, and coordination of resources.
  • Provide administrative support to staff members as needed, including data entry, filing, and correspondence management.
  • Perform general office tasks such as answering phones, responding to emails, and maintaining office supplies.

Qualifications:

  • Bachelor’s degree in a relevant field preferred.
  • Proven experience in administrative roles, preferably in a non-profit or similar setting.
  • Strong writing and editing skills with experience in technical or grant writing preferred.
  • Exceptional organizational skills and the ability to manage multiple tasks and deadlines effectively.
  • Proficiency in Microsoft Office suite and other relevant software applications.
  • Excellent communication and interpersonal skills, with the ability to interact professionally with diverse stakeholders.
  • Detail-oriented with a high level of accuracy in work output.
  • Ability to work independently as well as part of a team.
  • Organize and maintain electronic and paper files and records of the organization.
  • Other projects or tasks as assigned by the Executive Director or Operations Manager appropriate to the position.

Requirements:

  • An energetic, well-grounded, innovative, service-oriented personality and a calculated risk taker with a bias for action, a record of setting and surpassing objectives, and the proven “can do” attitude and drive to execute strategies and produce results beyond expectations.
  • Effective communication skills, both oral and written.
  • Strong interpersonal skills.
  • Other competencies include, but are not limited to, accuracy and attention to detail, collaboration, and execution.

  • This role is budgeted for $41,600.00 – $47,840.00 yearly ($20-$23 per hour).
